#1. Business model

The business model is a clear representation of the steering, primary and supporting processes within your company.

the model is divided into the different phases and working areas of the company.

#1.1 Approach the process

  1. Click on '' Business Model '' on the left side of the screen.

  2. Click on the process for which you want to see the detailed version.

  3. You are now in the process.

#1.2 Explanation of the process

The processes in PM use the RASCI method, a way of drawing, in which it is always clear who has what responsibilities. The layout consists of various components.

  1. Info / Version management

Field 1 contains all the information that is important for the process. The purpose of the process, scope, owner and version management.

  1. The process

Field 2 describes the process. The process is divided into three tracks: the input on the left, the throughput in the middle and the output on the right.

Input: The input consists of all documents, processes and databases that are required to be able to perform the activities. Think of a project plan or contact list.

Throughput: The process is outlined in the middle. This consists of a starting point, activities, decisions and an end point.

Output: The output consists of all documents, processes and databases that are accessed as a result of the process. For example, updating a customer database.

  1. The division of roles

In field 3 you will find which function plays a role and which role they play within the process.

  1. Extra options

In field 4 you can find extra options for the process.

Icon 1.

Under the first icon you will find more information about the different norms, standards of the process. You can also see the AVG processing register here and you can report a data breach.

Icon 2. You

can print the process under the second icon.

Icon 3.

Under the third icon you can download the process as a PDF.

Icon 4.

Under the speech bubble you can communicate about the process. People involved in the process will be notified.

Report issue (IRIS module must be active for this)

If you click on this button, you will be redirected to the IRIS module to create a notification linked to the process. This includes an improvement proposal or an action in the process that you monitor in IRIS.

Reporting (IRIS module must be active for this)

If you click on the reporting button, you will be redirected to the IRIS module where a report will be created automatically about the specific process.

Risk assessment (Module RAS must be active for this)

By pressing this button, you can immediately create a layout for making a risk assessment about this specific process.

#2. Processes

If you click on the processes heading on the left, you will see the total overview of all processes, subdivided into the different process types. You can search for specific processes through the search bar.

  1. Click on processes on the left side of the screen

  2. Click on the search bar.

  3. Enter the keyword that you want to search for. For example, you can search by process code, process name, owner name and function.

  4. Then click on the process that you want to view.

#3. Documents

The process manager has a built-in document management system, which is directly linked to the processes. Under the heading documents on the left side of the screen you will find an overview of all documents used within your company. Most will be linked to a process, but this is not necessary.

  1. Click on '' Documents '' on the left side of the screen.

  2. Use the various filters to find the right document.

  3. You can also use the search bar, which works the same as mentioned earlier under the heading '' Search process ''.

  4. Click on the process to the right of the line with the relevant document, if you have found the document and it is linked to a process. (If the document is not linked to a process, there is a download sign on the right side of the line.)

  5. The process will now open.

  6. The relevant document is highlighted.

  7. Click on the document to download the document.

By filtering for example for your position, you have a quick overview of the documents that are required to perform your work properly.

#4. Reports

If you click on reporting on the left you will arrive at the page where you can specifically search for data about all processes. Suppose you want a quick overview of which processes contain measures for ISO standardization, you can quickly find it here. The queries are preset. You can choose from the following queries:

  • Functions with sub-processes

  • Functions with Activities / Decisions-Roles

  • Functions with Employees

  • Departments with Employees

  • Departments with Functions / Employees

  • Sub-processes with Files / Documents as Input / Output

  • implemented Standardsper process

  • Standards overview

  • Implemented KPIs per process

#4.1 Using queries

  1. Click on '' Reports '' on the left side of the screen.

  2. Click on the line of the query that you want to enter.

  3. If you want data about '' Functions with Activities / Decisions-Roles '' as an example, then you have to click through to the desired function after clicking on the query. (You can use the search bar to find the correct function.)

  1. The result appears at the bottom or all over the page.

  2. If you are referred to a process via a query, then the desired focus area is highlighted.

Under this heading you will find a brief explanation of the RASCI method, which is used as a template for all processes.
